A safe, efficient and integrated solution
Signing documents in the business environment is often a repetitive, time-consuming and error-prone process. For this reason, we are constantly working to find and implement solutions that help our clients automate, optimise and scale all their processes.
With this objective, we organised a webinar in collaboration with our partner ViaFirma, focused on the integration of digital signatures in SAP environments.
The event started with the intervention of our colleague Antoni López, from the commercial area, who presented the vision of Vanture ESS to provide technological solutions that drive real, efficient and sustainable digital transformation.
Next, Santiago Núñez, ViaFirma‘s Business Development Director, presented the trajectory of his company, which has more than 25 years of experience offering certified electronic signature solutions. He highlighted its reliability, security, regulatory compliance and ease of integration.
Success case: Infraestructures.cat
The second part of the event was led by Josep Soriano from Vanture ESS, who presented the case study of Infraestructures.cat, a public entity of the Generalitat de Catalunya that needed a comprehensive solution to manage its internal and external electronic signature processes.
After evaluating the different alternatives, ViaFirma was the selected tool thanks to its flexibility, easy integration with SAP and its solid experience in the sector. Different key scenarios were addressed during its implementation:
-An involvement of external and internal actors, ensuring agility and security when signing documents by external users of the organisation and by internal employees.
-A recruitment process where the signing of legal and labour documents had full legal validity.
-Monitoring of works and projects with traceability and documentary control in real time.
-Efficient accounting and financial management with efficient validation and signature of financial documents.
To ensure a controlled and successful implementation, Vanture ESS used the s4boost methodology based on analysis, design, development, testing and post-implementation support. This enabled a seamless integration with the SAP system of Infraestructuras.cat, ensuring a frictionless and seamless experience.
ViaFirma tool demo
Ana Herrera, from ViaFirma‘s sales team, presented a demo of the platform’s back end, showing how to manage the sending and receiving of the documents to be signed from the system’s interface. She highlighted the following functionalities:
-External, ad hoc or internal signatories already registered.
-Configuration of customised and reusable signature flows.
-Choice of the order of signature or simultaneous signature between the various parts.
-Types of signature accepted: handwritten, with digital certificate, by code via telephone or email, by checkbox, image, text box, date or identity verification.
All signatures are aligned with the current legislation on electronic signatures, thus ensuring their legal validity.
Use cases and round of questions
To exemplify its operation, Santiago Núñez from ViaFirma shared three use cases of a customer request in which the data is integrated from SAP. Allowing to configure the parameters of the form and how to proceed to an electronic signature from the mobile, with validation through a single-use code to demonstrate with security and ease that you can sign a document electronically with ViaFirma.
Finally, a round of questions was opened where attendees were able to resolve any doubts that may have arisen during the webinar, such as the custody of signed documents, the possibility of sharing responsibilities between clients and the supplier, and the multiple configuration options of the system.
At Vanture ESS we continue to reaffirm our commitment to the digital transformation of companies by offering solutions that truly transform our clients’ operations. In this way, the integration of digital signatures in SAP environments not only represents a leap in efficiency, but also in security, regulatory compliance and user experience.
